THE ORIGIN OF ANDHRA PRADESH STATE ARCHIVES & RESEARCH INSTITUTE

The origin of the State Archives of Andhra Pradesh dates back to 1894.  In that year, the entire records of Daftar-I-Diwani, Daftar-I-mal, which were under the custody of certain jagirdar families, were taken over by the Nizam's Government and a new office called Daftar-I-Diwani was created for the preservation of these records.  It was elevated to the status of a Directorate in 1924 and was redesignated as Central Record Office in 1954 by the then Government of Hyderabad.

After the formation of Andhra State in 1953, some records pertaining exclusively to the Andhra Districts were transferred from the Madras Record Office to the Andhra Record Office at Kurnool.

           
After the formation of Andhra Pradesh on 1st November 1956, the Andhra Record Office was merged with the Central Reocrd Office, Hyderabad.  Finally in 1962, the Department was reorganized on the pattern of National Archives of India.

A) Objective 

To render Quality Service to the Public, Research Scholars and government by Providing access to the record holdings of this department.

B) Functions

1. Acquisition of non current records from all the Government departments, Secretariat etc. books, Private papers from politicians, Historians and Social Reformers, Institutions and Libraries.

2. Preservation and Conservation of the Records on Scientific lines.

3. Preparation of Reference Media for all the records, books and Private papers and making them available for the Government, Research Scholars and to the General Public.

C) Duties
  1. Acquisition of Records.
  2. Conservation & Preservation of Records
  3. Preparation of Reference Media
  4. Arrangement and Research Scholars and to the General Public
  5. Conducting Record Management training for the staff working in the Record Rooms of all the Government Offices, Libraries, Universities and institutions etc.
  6. Conducting Seminars, Lecture, Exhibitions and Celebration of Archives Week in order to create Archival awareness amont the public.
  7. Periodicals review of weeding of records and fixing retention period by creating agency with the help of the Staff of Archives.
  8. Publication of important record holdings and publication of Itihas, a half yearly journal of Archives.
  9. Issue of Certified copies of Documents / Gazettee notifications / Voter Lists to Public or Government.
  10. Issue of Certifiy copies of Mumtahkhabs, Farmans, Records / Documents / Siyas      (Marriage Certificates)
Duties of Assistant Directors The Assistant Director is incharge of a Repository Branch is the head of the Repository Branch and he is responsible for proper and prompt execution of business of the Branch.
Duties of Section Heads
The Section Head incharge of a Repository Branch is responsible for the proper maintenance of the records and expenditious transaction of business in it.  He should inspect twice a month the registers maintained by the staff under him in order to ensure that they are properly maintained.  He should ensure that records are fumigated and are dusted regularly according to a programme approved by the Assistant Director.
Duties of Asst. Archivists & Clerks
Assistant Archivist or Clerks will also be responsible for the proper maintenance of the records.  They should arrange the records neatly and methodically and see that the rooms are kept tidy.  They should promptly attend the requisition for records and maintain necessary registers showing the records sent out and returned.
IV.  Procedure for decision making process Channel of Supervision Commissioner
Commissioner shall be responsible for the custody, proper care and Management of all records received in the State Archives & Research Institute and its Regional Offices. Commissioner will coordinate and guide all operations connected with Public Records private papers and books etc. in respect of their Administration, Preservation and Elimination with a view of ensuring that the records of permanent value are not destroyed are transferred to the A.P. state archives at an appropriate time.
The Departmental Record Officer

Departmental Record Officer is professionally Qualified Archival Adviser to the Head of the Department of State Archives.  The officer should be responsible for proper maintenance and management in acquisition, appraisal and weeding of records.  He shall survey and acquire the records pertaining to the entire Andhra Pradesh State.

Assistant Director (Admn.)
The Assistant Director (Admininistration) is in charge of Establishment, Accounts, Stores and Buildings branches and he is having executing control overall the sections in regard to smooth functioning of the business and discipline of staff.
Assistant Director (Research)
He shall provide necessary Research Guidance to the Scholars in respect of Documents, reference media etc.  He shall convene the meetings of Research Fellowship Committee.
Assistant Director (Film Archives)
He is in charge of Film Archives, Cataloguing, Indexing, Kaifiyats and Compilation of Comprehensive History of A.P.  He shall assist the CSA is covening the meetings of advisory Commttee i.e., (RHRSC) Regional Historical Records, Survey Committee.  The body constituted by the Government of A.P. for procuring Records Films, Documents, and for the development of the Department.
Assistant Director (Interim Repository)
He is incharge of the Interim Repository situated in the A.P. Secretariat premises.  He should supervise the maintenance of Interim Repository, issue of records to benefied Research Scholars, to the Government and Public.

Assistant Director(Urdu and Persian)

he/she shall maintain and supervise the work of preparation of reference Media by the Senior and junior Research Assistant in Urdu and Persian.  He shall check the Computerisation of the cataloguing work.  He will provide necessary guidance in preparation of master copy of the Reference Media.
